2025 Terms of Service

Disclaimer: Currently, AstralFetchStudios is only able to ship to customers located in the United States of America. This is subject to change at a later date. 

Pet Allergy Policy

Not only does the studio connect to a living space with two dogs, but both co-owners of AstralFetchStudios work full time in fields related to animal care. While every possible measure is taken to ensure no materials come into contact with any animal, AstralFetchStudios cannot guarantee that the materials will be safe for those who have animal related allergies. AstralFetchStudios is not liable for any incident that occurs as a result of an animal allergy from its products.

Quote Form Process

Base prices for commissions can be found in the 2025 Base Price Guide, which is located in the AstralFetchStudios LinkTree. If the customer wishes to receive an estimated price quote for a product they would like to commission, AstralFetchStudios offers a free quote form that is available to fill out anytime. The quote form currently exists as a Google Form, and it is also accessible through the LinkTree.

 

In order for a customer to receive the most accurate price quote, the form must be filled out completely and accurately. 

 

Only one character can be quoted at a time. If a customer has two or more characters they would like to receive a quote for, a form must be filled out for each character.

 

Filling out a quote form is not the same as filling out a commission form. By submitting a quote form, the customer is only guaranteed an estimated quote for a product. 

 

AstralFetchStudios will respond to quote form inquiries by email or Instagram Direct Message only. When filling out the quote form, the customer is encouraged to include their most reliable email address or Instagram username to help ensure they receive their quote. 

 

It takes between two to five business days to receive a response from the quote form. Response times may vary. 

 

An estimated price quote is only given in the event that AstralFetchStudios is capable of making the product. AstralFetchStudios reserves the right to deny an estimated quote to any customer for any reason. Some reasons a quote form may be denied include:

  • The product includes patterns and details that are too complex and aren’t capable of being made by AstralFetchStudios. 

  • The reference sheet provided does not meet the correct requirements or is not included in the quote form. 

  • The product requires the use of materials that AstralFetchStudios does not currently work with. (airbrushing, vinyl, electronics)

  • The product contains details or themes that AstralFetchStudios is not comfortable creating. 

  • The product falls under copyright laws. (fictional characters that are not original or that the customer does not have the rights to)

In the event that the product inquired cannot or will not be made by AstralFetchStudios, A response will still be delivered with a reason the product quote was denied.

Reference Sheet Requirements 

The customer must have a completed reference sheet of any character they wish to get a quote or commission from. In order for a reference sheet to be considered complete, it must:

  • Have a 3-sided reference for a head and / or body. (front, back, and side view)

  • Have a 2 sided reference for paws and tails. (front and back)

  • Not have any shading

  • Be in a pose that allows the details of the character to easily be seen.

Commission Form Process and Requirements

If the customer wishes to commission AstralFetchStudios, they must fill out and submit a commission form. Commission requests will not be accepted through any other platform. This form can be found alongside the quote form that is located in the LinkTree. The commission form acts almost identical to the quote form. However, this form is only available when commission status is open and slots are available. 

  • Commission status varies throughout the year, but will always be displayed on all social media platforms. A social media post will be made whenever new commission slots are available. 

The commission form is simply an application to be given a commission slot. The customer is not guaranteed a commission slot by filling out and submitting the commission form. 

 

Only one character can be requested at a time. If a customer wishes to commission two or more different characters, they must fill out one commission form for each character. 

 

In order for a commission form to be considered for a slot, every section of the form must be filled out accurately. A completed reference sheet must be provided as well. Once enough forms have been submitted, the form will close and every customer who submitted a form will be contacted.

 

If the commission form is approved, the customer will receive a response by email or Instagram Direct Message only. Once accepted, the commission request may fall into one of two different slots. These are as follows:

  1. Immediate slots: commission requests that are able to be paid in full, that can be paid over a short payment plan, or that take a week or less to complete. 

  2. Waitlist slots: commission requests that can be paid over a long payment plan or that take over a week to complete.

Other factors that contribute to which slot a commission request is placed into may vary. The customer will be made aware of which category their commission request has been placed into when they are informed of their accepted commission form.  

 

AstralFetchStudios reserves the right to deny any applicant for any reason. Some reasons a commission form may be denied include:

  • The requested commission includes patterns and details that are too complex and aren’t capable of being made by AstralFetchStudios. 

  • The reference sheet provided does not meet the correct requirements or is not included in the commission form. 

  • The requested commission requires the use of materials that AstralFetchStudios does not currently work with. (airbrushing, vinyl, electronics)

  • The requested commission contains details or themes that AstralFetchStudios is not comfortable creating.

  • The requested commission falls under copyright laws. (fictional characters that are not original or that the customer does not have the rights to)

  • All available slots have been filled by other applicants.

 

In the event that a commission form has been denied, the customer will receive a message either by email or Instagram Direct Message with the reason the form was denied.

Age Policy

AstralFetchStudios will only accept commissions from those who are eighteen years of age or older. By agreeing to these terms of service, the customer is confirming that they are at least eighteen years of age and, if requested, is willing to provide a form of identification to verify their age. 

 

In the event that a customer is found to be lying about their age while their commission is being completed, the following will occur:

  • All work on the commission will immediately stop.

  • Any refundable amount of money paid will immediately be refunded. This amount will vary based on the amount of work already completed. 

  • The customer will be blacklisted and banned from any future commission slots for violating the terms of service. 

 

AstralFetchStudios is willing to accept commissions for a customer who is under the age of eighteen only if it is requested through their parent or guardian. All communication and payment invoices will be coordinated between AstralFetchStudios and the parent or guardian, not the underage customer. 

NOTE: A form of identification will be required, and an additional parental consent form must be signed by the parent or guardian if the commission request is to be considered for an available commission slot.

Products and Services Not Offered

Listed below are all of the current services and materials that AstralFetchStudios is unable to provide at this time. These are subject to change at any time. 

  • Fursuit heads that are made from expanding foam or 3D printed materials.

  • Products that require airbrushing in order to be completed.

  • Products that require the creation or installation of any electronic device.

  • Quadsuits

Original Character Agreement

AstralFetchStudios will not accept a commission for a character that does not belong to the customer. By agreeing to the terms of service, the customer confirms that they own the rights to any character that they wish to commission. 

 

AstralFetchStudios is not responsible for unknowingly completing a commission for a customer who does not have rights to the character that was commissioned. If it is found out that the customer does not own the rights to a character that is actively being commissioned, the following will occur:

  • All work on the commission will immediately stop.

  • Any refundable amount of money paid will immediately be refunded. This amount will vary based on the amount of work already completed. 

  • The customer will be blacklisted and banned from any future commission slots for violating the terms of service.

Payment Policy

Once a commission form is accepted and placed into a slot, the customer will be informed of the total cost of their commission. Once the customer confirms they still wish to move forward with the commission, a date of payment will be agreed upon. 

  • If the commission is to be paid in full, the customer will receive an invoice for the full amount. 

  • If the commission is to be paid in installments, the customer will receive an invoice for the initial deposit amount. For more information, see Payment Plans below

 

For commissions that are paid in full, 30% of the total cost is used to cover all materials and is non-refundable once materials have been purchased.

 

All payments will be collected via invoice. The customer will never directly send AstralFetchStudios funds without an invoice being sent first. 

 

Currently all transactions will be completed through Venmo only. This is subject to change. 

Payment Plan Information

If the customer wishes to pay for their commission in installments, they must select which payment plan tier they would like when filling out the commission application form. Please be aware that AstrelFetchStudios does prioritize commissions that are able to be paid in full or those that are able to be paid through a shorter payment plan. Commissions that require a longer payment plan have a higher chance of getting placed into a waitlist slot.

 

Currently accepted payment plan options fall into two categories: Tier 1 payment plans and Tier 2 payment plans. Tier 1 payment plans require a larger deposit up front, but will allow work to begin immediately on the commission while it is still being paid off. Tier 2 payment plans offer a much lower deposit amount and more flexibility regarding paying the commission off. However, work on the commission will not begin until it has been completely paid off. Listed below is a more detailed breakdown of each payment plan tier. 

 

Tier 1 payment plan: Ideal for those interested in a shorter payment plan or those who wish to receive their product faster. 

  • Deposit amount: 50% 

NOTE: For all tier 1 payment plans, the initial 50% deposit is non-refundable. This amount is used to cover the cost of materials, and serves as a safeguard against commission abandonment. 

  • Work will immediately begin once deposit is paid 

  • Allows for custom monthly payment amounts after the initial deposit has been paid. 

  • Since work begins as soon as the deposit is paid, the amount able to be refunded will depend on how completed the product is. For more information, see Cancellation / Refund policy below. 

 

Tier 2 payment plan: Ideal for those who need a longer payment plan or for those who don’t mind waiting longer for their product to be completed. 

  • Deposit amount: 30%

  • Work will begin after the commission has been fully paid off. 

  • Allows for custom monthly payment amounts after the initial deposit has been paid. 

  • Since work doesn’t begin until the commission is fully paid off, a full refund is able to be given up until the commission is paid off and materials have been ordered. 

NOTE: Once materials have been ordered, the initial 30% deposit is no longer refundable. 

 

No matter which payment plan tier is chosen, no commission will be shipped to the customer until  it has been fully paid for.

Estimated Commission Timeline

Each and every commission may take a different amount of time to be completed. The amount of time it will take to complete a commission will depend on several factors, including but not limited to:

  • Time it takes for materials to arrive

  • Complexity and size of the commissioned design

  • Other unexpected or urgent circumstances 

 

Listed below are the base timelines for completion of a commissioned product form AstralFetchStudios. These timelines do not include the time it takes for needed materials to arrive or the time it takes for the product to ship to the customer. These timelines may vary and are subject to change.

  • Foam head base: 1 to 2 weeks

  • Puffy fursuit hand paws: 2 to 4 weeks

  • Indoor and outdoor fursuit feet paws: 4 to 6 weeks

  • Nub, small, and medium tails: 1 to 2 weeks

  • Large and XL floor dragging tails: 2 to 4 weeks

  • Completed fursuit head: 6 to 8 weeks

  • Mini partial fursuit: 2 to 3 months

  • Full partial fursuit: 3 to 4 months

  • Plantigrade and digitigrade fullsuit: 4 to 6 months

Alteration Request Policy

When completing a commission, AstralFetchStudios will establish specific check-ins during each step of creation to ensure the product is exactly what the customer would like. These check-ins will include detailed photos of the commission while it is in the progress of being completed. If the customer wishes to make an alteration to their commission, they must abide by the guidelines that are outlined below.

  1. Small alterations (slight alterations when carving a head base, slight changes to markings before fabric has been cut) are always allowed. However, additional fees may be added onto the total cost if the amount of small alterations exceeds ten (10) requests. 

  2. Large alterations (major changes to the character that would require a new quote evaluation) will incur additional fees. 

  3. AstralFetchStudios reserves the right to refuse any alteration. This may happen if the team does not feel as though the alteration is possible or if completing the alteration would require a large portion of the commission to have to be redone. 

 

To avoid incurring additional fees or risking the commission not turning out the way the customer would like, the customer should always provide honest feedback during check-ins with AstralFetchStudios. The check-ins are designed with the intention of giving the customer ample opportunities to confirm that they are happy with the commission during each stage of its creation. 

Refund / Cancellation Policy

If for any reason the customer would need to request a refund or cancel their commission with AstralFetchStudios, the amount that is able to be refunded will depend on how complete the commission is. (NOTE: For clients that have agreed to pay through a Tier 1 payment plan, the initial 50% deposit is non-refundable.)

  • Stage 0: 100% refund

No work has been started yet and no materials have been purchased. 

  • Stage 1: 70% refund

Initial work has begun and materials have been ordered. (Examples include: caving of headbase is complete, initial patterns have been made.)

  • Stage 2: 40% refund 

The commission is around half way done and some materials have been utilized. (Examples include: fur patterns have been cut and sewn, eyes have been started, or head lining has been glued into the head.)

  • Stage 3: 15% refund 

The commission is almost complete and almost all materials have been utilized. (Examples include: one or more parts of the commission have been fully completed, fur has been glued to the head base.)

NOTE: The customer will be notified by AstralFetchStudios when their commission enters each stage of completion. 

Failure to Submit Payment / Commission Abandonment 

Before any work begins on a commission that is being paid through a payment plan. AstralFetchStudios and the customer will agree upon the date of payment. This date will stay the same each month and will be the day that the customer is expected to receive their payment invoice for that month. 

 

After the customer receives their payment invoice, they have up to three (3) business days to submit the payment to AstralFetchStudios. If the payment has not been received within three (3) business days, the payment will be considered late.

 

Once a payment is considered late, AstralFetchStudios will reach out to the customer to notify them that their payment is late and that their commission is at risk of being considered abandoned. If the customer does not complete the payment within seven (7) business days after they have been notified, their commission will be labeled as abandoned. 

 

If a commission is labeled as abandoned, the following will occur:

  1. The customer will be notified that their commission has been labeled abandoned and work on their commission will be immediately halted.

  2. A refund will be delivered to the customer that is determined by the stage of completion the commission is in.

 

In the event that a commission is labeled as abandoned, AstralFetchStudios reserves the right to use the materials ordered and the existing commission to modify the product and resell it as a premade. The commission will be altered and re-done to ensure the same character that was commissioned is not sold as an original work.

Shipping Policy

At this time, AstralFetchStudios only ships to customers inside of the United States of America. This is subject to change at a later date. 

 

For all products, shipping is conducted through UPS. AstralFetchStudios utilizes reinforced shipping boxes and package insurance to guarantee the highest possible chance of the commission arriving to the customer safely and securely. Shipping times will vary based on how far the commission is being shipped.

 

The cost of shipping is determined by several factors. These include:

  • How far the package is being transported

  • How much the package weighs

For all products, the customer is responsible for covering all shipping costs. Once the total cost to ship a product has been calculated, the total cost will be invoiced to the customer before the order is shipped. 

 

Once the product has been delivered to UPS, a tracking number will be forwarded to the customer. AstralFetchStudios is not responsible for any lost, stolen, or damaged products that occur during the time in which it is being shipped to the customer.

Warranty Policy

A detailed care guide will be sent alongside every product commissioned through AstralFetchStudios. This care guide will have information about how to properly clean the product, as well as any special instructions that will help protect the longevity of the product.

 

Due to both co-owners of AstralFetchStudios having underlying medical conditions that impact the immune system, commission repairs and any warranties are not offered at this time. 

Privacy Policy

By commissioning AstralFetchStudios, the customer agrees to:

  •  allow their commission to be shared online in the form of promotional material or social media content. 

  • allow their commission to be included in a public portfolio that will be displayed on the AstralFetchStudios website.

 

AstralFetchStudios will never give out any personal or financial information of any customer for any reason without the written consent of the customer.

 

AstralFetchStudios is not responsible for the sharing of any personal or financial information as a result of a data leak or any other cybersecurity event.
